By following these steps, you can resolve many common printer issues and keep your printer running smoothly. Regular maintenance and troubleshooting can help prevent problems and extend the life of your printer.
Step-by-Step Guide to Troubleshoot Printer Issues
- Check Connections: Ensure the printer is on and connected to the same network as your computer. For wired printers, check the USB or Ethernet connection. Yes, turning the printer off and on again does resolve many issues.
- Paper Jams: All printers are different, so please ensure you follow the steps for your make and model, but it will follow something along these lines. Turn off the printer and unplug it. Open the printer cover and gently remove any stuck paper without tearing it. Check for any small pieces of paper that might be stuck inside. Close the cover, plug the printer back in, and turn it on.
- Check Paper Tray: Make sure the paper is properly aligned in the tray. Ensure there are no jams (as above).
- Check Toner or Ink Levels
- Error Messages: If your printer has a screen, check for any error messages. Follow the instructions provided by the error message to resolve the issue.
- Clear the Print Queue: On your laptop or PC, go to Settings > Bluetooth and Devices > Printers and Scanners. Select your printer and click “Open Print Queue.” Cancel all documents if the queue is stuck.
- Restart the Print Spooler Service: If none of the above have worked, you can restart the print spooler service by typing “services” in the search bar, right click and hit ‘Run as Administrator’ (you may need administrator rights or password at this point). Scroll down to “Print Spooler”, right-click, and click “Restart.”
- Contact IT: If you are still experiencing issues at this point, please don’t throw your printer out of the window as tempting as it may be. Contact your IT department or outsourced IT team and they’ll be able to assist.
