Which Copilot is Right for Me?
Microsoft haș released a number of copilots in recent months, all designed to improve productivity and efficiency – so you may be thinking ‘which Copilot is right for me?’ We explain the different copilots so you can make an informed choice.

AI is now a mainstay for modern businesses. Although they’re still relatively new, these technologies show incredible promise and are likely to become even more powerful in the near future.
Incorporating an AI assistant into your or your company’s workflow can make performing daily tasks easier, speed up the content creation process or help you use your time more efficiently.
Copilot is a part of Microsoft’s effort to include AI companions in all its products and services, but the tool’s capabilities vary from one variant to another.
As a result, users can have a hard time determining which Copilot is right for them.
We’ll clarify the differences between Copilot variants to help you choose the one that meets all your needs.
Getting to Know Microsoft Copilot
Initially released as Bing Chat, Copilot is Microsoft’s generative AI assistant, available on Edge, Bing, and Windows 11. The free tool performs tasks like image generation, code writing and summarising inputs (such as a book) after it receives a prompt from a user.
Depending on the variant, the AI companion uses the GPT-4 or GPT-4 Turbo multimodal Large Language Model (LLM) to process prompts and generate natural-language outputs or images. Copilot’s free version doesn’t utilise the LLM’s full potential as it only uses online sources, which limits its applications in professional contexts.
Most importantly, Microsoft 365 subscribers cannot use the AI companion’s free version with the 365’s productivity apps. The more advanced Copilot variants are Microsoft Graph-grounded, which means that they allow businesses to generate content or perform tasks based on external and internal data.
Writers, coders, and other power users, as well as businesses, need one of Copilot’s paid versions to start using the companion with Microsoft 365 productivity apps and unlock the AI’s full capabilities.
Distinguishing Between Copilots
Knowing the differences between Copilot variants will make the process of choosing the right one for you much more straightforward. You must make sure that the Copilot version you’d like to get is available with the Microsoft 365 plan you’re using and check the requirements your company must meet to implement the tool into its 365 system.
Currently, Microsoft offers the following versions of Copilot:
Copilot Pro – Available as an add-on to Microsoft 365 Family and Personal plan subscribers. It enables users to create content with the AI companion in Word, Excel, PowerPoint and other productivity apps. This Copilot variant can only generate content from web sources, and it doesn’t work with Teams.
Copilot for Microsoft 365 – A comprehensive AI solution for Business and Enterprise 365 users. This Copilot version is graph-grounded, allowing companies to generate content from their document archives and other internal sources.
Copilot for Sales – The add-on extends Copilot’s capabilities through integration with Salesforce Sales Cloud and Dynamics 365 apps. It assists an organisation’s sales department with record updates, creating meeting summaries, and performing other repetitive tasks.
Copilot for Finance – This Copilot works with Outlook, Dynamics 365, Teams and SAP ERP systems to streamline data reconciliation and collection processes. Copilot for Finance is in the preview stage, and Microsoft hasn’t made its official release data public as of April 2024.
Copilot for Service – Providing customers with knowledgeable answers or creating case summaries are some of the ways Copilot for Service can help companies improve the quality of their customer services.
Copilot for Azure – Building infrastructure, deploying workloads, and troubleshooting apps are among the highlights of Copilot for Azure. The AI tool is in the preview stage, and companies that want to use it must apply for access.
Copilot for Security – Businesses that want to tighten their online security and empower their IT teams can benefit from implementing Copilot for Security into their daily operations.
All Copilots are fully customisable, and organisations can easily adjust them to their needs in the Copilot Studio. Studio’s users can also direct Copilot to specific sources, create personalised responses to specific queries and optimise the AI assistant based on detailed data analytics.

Choosing the Right Copilot
Understanding the capabilities of Microsoft’s AI companion isn’t the only step you must take when selecting a Copilot. To make the most of the potential Copilot variants, you must first determine which segments of your business’s operations the AI assistant can help you improve.
Moreover, conducting a thorough analysis of your organisation’s needs and identifying its segments that require an increase in productivity can simplify the process of picking the right Copilot. Let’s go through a few more steps you should complete before committing financially to one of the Copilot variants:
Check the technical requirements – Subscribers to Microsoft 365 Business and Enterprise plans can purchase Copilot as an add-on. Before doing so, they must ensure that their organisations meet Microsoft’s connectivity guidelines and other technical requirements.
Determine how many Copilot seats your company needs – The monthly budget you must allocate to Copilot depends on the number of seats your company will be using. Microsoft no longer limits the number of seats 365 users must get in order to purchase Copilot.
Prepare internal databases for Copilot integration – Selecting the internal sources that Copilot will use to generate content reduces the chances of accidental data privacy violations.
Copilot Adoption
Assigning permissions, reviewing your organisation’s content-sharing policies, and managing licences are some of the necessary preparations you need to take before implementing Copilot. Companies should also organise training programs to help employees understand how Copilot works and show them how to write prompts that give the AI companion clear instructions.
Tapping Into Copilot’s Potential
The AI revolution is rapidly transforming the business landscape. Google, Adobe, and Microsoft have already made available a variety of AI tools to the users of their products, and other tech-industry giants are expected to follow suit.
Adopting Microsoft Copilot offers a range of opportunities for individuals and businesses alike to increase their productivity and provide better services to their customers. Still, knowing which AI companion’s variant is the right option for you will enable you to unlock its full potential since there’s no sense in purchasing an AI assistant with features you’ll never use.
You can test the tool’s capabilities for free, and if you’re a power user, upgrade to the Pro version to use it with Microsoft Word, Excel, and other productivity apps. Copilot for Microsoft 365 is the best option for businesses because it can help them interpret data more efficiently and increase collaboration between departments.
Copilot for Sales or Finance and other variants are specialised tools designed to cater to specific teams’ needs. The general-purpose Microsoft 365 Copilot is powerful, but specialised copilots give teams access to AI that’s tailored to their work. With more copilots being developed, there’s likely a perfect Microsoft AI companion for your team.
